This policy explains how Eco Funding Solutions Ltd uses your personal information when you visit our website, fill in our enquiry form or speak to us on the phone.
Eco Funding Solutions Ltd ("EFS", "we", "us") is the controller of the personal information described in this policy. That means we decide how and why it’s used.
Once your details are passed to your installer, the installer becomes a separate controller of the information they hold about you. Their own privacy notice applies to how they use it, and they will give it to you.

| Property details | Whether you own your home (and whether jointly), number and type of windows and doors, whether any are vertical sliders or have Georgian or astragal bars, frame material and rough age |
| Your enquiry | Why you’re looking to replace your windows, when you’d like the work done, who else is involved in the decision, your best time to call, and your survey appointment |
| Call information | Recordings of our calls with you, and notes our team makes, including your agreement to your details being passed to the installer |
| Preferences | Whether you’ve asked to hear about our future offers, and any request to stop contacting you |
| Website data | Your IP address, device and browser type, the pages you visit and how you found us. Non-essential cookies are only used if you agree (see Cookies below) |
We don’t ask about your income, employment, debts or credit history, and we don’t carry out credit checks.
If you tell us you need extra help, for example someone else present on a call, we’ll note that you need extra support so we can help you properly. We don’t record details of any health condition.
Data protection law says we must have a lawful basis for each way we use your information.
| What we do | Lawful basis |
|---|---|
| Check whether we cover your postcode | Legitimate interests: responding to the enquiry you made |
| Call you to talk about your enquiry and book your free survey | Legitimate interests: responding to the enquiry you made. If we can’t reach you, we’ll try again a small number of times, then stop |
| Pass your details to the one installer covering your postcode | Consent, which you give on our call after we tell you who the installer is |
| Record calls and keep call notes | Legitimate interests: training, quality, proving you agreed to your details being passed on, and handling complaints |
| Send you our own offers by email or text | Consent, given by ticking the box on our form. You can withdraw it at any time |
| Keep a record of anyone who’s asked us not to contact them | Legal obligation and legitimate interests, so we don’t contact you again |
| Deal with complaints and legal claims | Legitimate interests, and legal obligation where it applies |
| Run and improve our website, and measure our ads | Consent, through our cookie banner, for non-essential cookies |
| Keep business and accounting records, including fees from installers | Legal obligation |
Where we rely on legitimate interests, we’ve weighed our interests against yours. You have the right to object (see Your rights).
We don’t use your information to make automated decisions that have a legal or similarly significant effect on you.
Your installer. If you agree on our call, we pass your contact details, property details and appointment to the one approved installer covering your postcode, whom we name to you on that call. They use it to confirm your survey by WhatsApp, carry out the survey, give you a written quote and, if you go ahead, fit your windows and doors. Installers pay us a fee for each introduction. Every installer has agreed with us not to sell or pass your details to anyone else.
Our service providers. These are companies that help us run our business and only act on our instructions, such as our website host, CRM and enquiry system, telephone and call-recording provider, email and text provider, and address-lookup service.
Advertising and analytics providers, such as Meta (Facebook and Instagram) and Google, where you’ve agreed to cookies, or where you sent your enquiry through one of their lead forms.
Professional advisers, such as our lawyers and accountants.
Regulators, the police and courts, where the law requires it or to protect our legal rights.
A buyer of our business, if we ever sell or restructure it, under the same protections as this policy.
We don’t sell your details to anyone else, and we only pass them to one installer.
Some of our service providers, such as Meta and Google, may store or access information outside the UK. Where they do, we make sure your information is protected by a UK adequacy decision (including the UK–US Data Bridge) or by approved contract terms, such as the ICO’s International Data Transfer Agreement. Contact us for more details.

After that, we securely delete or anonymise it. Your installer keeps the information they hold in line with their own privacy notice.
We use appropriate technical and organisational measures to protect your information, including access controls, secure systems and staff training. Only people who need your information to do their job can see it.
We make one call to book your survey. If we can’t reach you, we’ll try again a small number of times, then stop. Our calls are recorded, and we tell you this at the start of each call.
If you agree to your details going to your installer, they’ll confirm your appointment by WhatsApp the day before, and contact you by phone and email about your survey and quote. WhatsApp is run by Meta, and its own privacy policy applies to how it handles messages.
You can ask us, or your installer, to stop contacting you at any time.
We’ll only send you our own offers by email or text if you tick the box on our form. The box is never ticked for you. You can unsubscribe at any time using the link in our emails, by replying STOP to our texts, or by contacting us. We never pass your details to other companies for their marketing.
We use essential cookies to make our website work. We only use other cookies, such as analytics and advertising cookies from Meta and Google, if you agree through our cookie banner. You can change your choice at any time. See our Cookie Policy for details.
You have the right to:
To use any of these rights, contact us using the details in Who we are. We won’t charge you, and we’ll reply within one month, or tell you within that time if we need longer.
